IT-Tremmel GmbH Time Tracking

The IT-Tremmel GmbH time tracking records employees’ working hours by clocking in and out. The solution stands out by allowing virtually no limits when implementing special requests (possibly for an additional charge). This makes it possible to accommodate any conceivable company‑specific special rules.

Components of the time tracking

In the basic configuration, our time tracking consists of the following components:

Web-based user interface

Web-based user interface for employees to clock in and out.

Backoffice for accounting

Web-based interface for accounting: master data maintenance, time corrections, absence and sick days, monthly report, overtime approval, corrections.

Features

Basic configuration

The accounting interface allows correction of all clocking times and adding clocking times for employees.

  • For each weekday, daily programs are created for employees. These daily programs define the evaluation framework, the regular working time, and core working hours. Comparing actual and target working time results in the overtime or undertime visible in the monthly report.

Time tracking variant for office and field service

If the clock‑in or clock‑out time is more than 30 minutes beyond the evaluation framework, the notice “Overtime?” is shown. Overtime is only counted if it has been explicitly approved.

Within working hours, only times within the evaluation framework are counted as actual working time.

Time tracking variant for field service (for an additional charge)

The field service variant assumes that overtime is not subject to approval in the company.

Within working hours, times outside the evaluation framework are also counted as actual working time, but with the note “Overtime”.

If overtime was worked without approval, it can be rejected retroactively.

A distinction is made between presence times and working times. Depending on the duration of presence, a staggered allowance can be entered in the master data.

Company breaks

Company breaks can be defined company‑wide individually for each weekday. Special breaks can also be defined individually for certain employees.

It is possible to account for and clock additional breaks (e.g., smoking and phone breaks). Employees currently on additional breaks can be displayed in real time.

  • Presence of 6h 5min results in a 5min statutory mandatory break (sliding break deduction)
  • Presence of 6h 5min results in a 30min statutory mandatory break (fixed break deduction)
  • 30min mandatory break for 6+ hours of work
  • 45min mandatory break for 9+ hours of work

Error booking report

The error booking report is the central location for checking incorrect entries. In particular, it shows:

  • Double bookings (multiple absence reasons for an employee per day)
  • Sick days without a medical certificate
  • Unapproved compensatory time off (if subject to approval)
  • Incorrect bookings (broken down by month). Incorrect bookings are absence days on which work was nevertheless performed.

Evaluations

Absence days can be displayed in a calendar. Different types of absence are shown in different colors. This calendar can also be integrated into an email client such as Outlook via iCal.

There are also reports and evaluations for (numbers and/or charts):

  • Sick days
  • Absence days broken down by absence reason
  • Overtime
  • Hour and vacation balance
  • Core working time violations

The goal of the solution is not to make the software unnecessarily complicated by adding every conceivable feature, as is often the case with standard solutions. There will always be special customer requests that cannot be mapped that way. Instead, virtually any request can be implemented by our developers at a reasonable cost.

For a small additional charge, almost all software adaptations can be implemented cost‑effectively. Technically, there are hardly any limits regarding possible software customizations.

Rental version with online time tracking software from €89.25 / month.(incl. VAT)
For software support and answering employee questions, either a monthly software support fee or billing based on time spent may apply, depending on the scope of assistance required.

Important notes:

  • 1The source code of the software is not included in the price.
  • 2Customization to individual requirements as well as setup/commissioning is not included in the rental fee; an individual offer will be prepared for this.
  • 3Without termination at the end of the term, the contract is automatically extended by the duration of the contract term.

Add‑ons

Add‑ons are not included in the basic configuration unless otherwise agreed. The surcharge for add‑ons can be requested from IT‑Tremmel GmbH sales.

Software-Integration

Integration into project management or payroll software is possible.

Smartphone-Stempeln

Clocking in via smartphone (e.g., for field staff) is possible.

Mitarbeiter-Zugang

Employee access to the backoffice to view the monthly report and, if necessary, correct master data/absence days.
